Pre-Travel (Up to 14 days before departure): - Comprehensive flight booking with fare comparison - Optimal seat selection and upgrade requests - Special meal requests and dietary accommodations - Travel document verification reminders - Weather pattern analysis and proactive rebooking recommendations Active Monitoring (48 hours before departure through arrival): - Enhanced real-time monitoring with predictive analytics - Proactive rebooking before official cancellations - Airport lounge access coordination - Ground transportation delay notifications - Baggage tracking and delay alerts Concierge Services: - Priority customer service line access - Meal voucher coordination for extended delays - Hotel accommodation assistance for overnight delays - Travel insurance guidance and claim initiation support Communication: - Multi-channel alerts (email, SMS, phone calls) - Extended support hours (6 AM - 11 PM EST) - Response time: Within 1 hour during support hours - Dedicated client portal access Client Responsibilities: - Provide comprehensive travel preferences profile - Authorize up to $500 in emergency rebooking without prior approval - Maintain credit card on file for emergency bookings - Respond to urgent communications within 2 hours Service Limitations: - Emergency rebooking authorization capped at $500 - Hotel accommodations coordinated but not guaranteed - Limited to 4 flight segments per booking - International flights require 72-hour advance notice
Cancellation Policy
● Cancellation by Client must be made in writing. ● If the Client cancels the contract 3 months before the event, the Coordinator will retain 50% of the service fee as a cancellation fee. ● If the Client cancels the contract within one month of the event, the Coordinator will retain 80% of the service fee as a cancellation fee.
